Manage your entire sales pipeline in one place. Track leads from first contact through conversion to client.
Core Concepts
A lead is a prospective customer who may become a paying client. Each lead moves through a pipeline stage:
- New: Freshly added, not yet contacted
- Contacted: You've reached out
- Scheduled: Appointment or estimate scheduled
- Quoted: Quote or estimate sent
- Sold: Converted to a client and invoice created
- Lost: No longer pursuing this lead
Adding a Lead
- Go to Leads in the sidebar
- Click + New Lead
- Enter name, phone, and email
- Add optional details: service needed, project size, location
- Click Save
Updating Lead Status
- Open a lead from the list
- Click the status dropdown
- Select the new stage
- Add notes about why you're moving it (optional)
- Save
Tip: Regularly review your leads and update their status. This helps you track progress and identify stalled opportunities.
Searching & Filtering
- Search by name: Type in the search box
- Filter by status: Click the status filter buttons
- View recent activity: See who contacted the lead and when
Converting a Lead to a Client
Once you've won the deal:
- Open the lead
- Click Convert to Client
- Review contact information
- Create an invoice or start a quote (optional)
- The lead becomes a client and moves to your client list
Common Tasks
Add Notes to a Lead
Click the Notes tab and type your observations. Great for tracking conversations and next steps.
Assign a Lead to a Team Member
Click Assign and select a team member. They'll get a notification.
Set a Follow-Up Reminder
Click Set Reminder to get notified on a specific date to follow up.
Delete a Lead
If you no longer want to pursue, click Delete (you can restore from trash for 30 days).
Best Practices
- Update status frequently: Keep your pipeline accurate for better forecasting
- Write detailed notes: Help your team understand the lead and opportunity
- Use tags: Add custom tags (e.g., "roofing", "urgent") for faster filtering
- Track source: Note where the lead came from (website, referral, ad, etc.)
